How to Securely Outsource Email to Google

There are significant cost benefits to outsourcing email to a cloud-based service provider such as Google. Not only does it eliminate redundant internal hardware and software email servers, but also the need to manage and administer email using internal resources. Unfortunately, there are potential security concerns when making the move. And rightly so: migrating to a cloud-based service provider, such as Google, can cause enterprises to lose control over user access and introduce security risks and other problems.

The potential problems resulting from a move to Google include:

  • The need to produce a new access control list (ACL) and provide it to Google to manage, instead of using an existing ACL.
  • A lead time of 4-16 hours to deprovision users, depending on which service level agreement is in place, which creates security exposures for an organization when an employee is terminated.

Both of these problems are eliminated when RACF is used to authenticate to Gmail for Business. What better way to secure cloud applications then by extending the power of RACF security to Google? Using this approach allows enterprises to centralize security administration, including access to any cloud services, within one ACL, and avoid creating another ACL managed by Google. User access can also be provisioned and deprovisioned by the internal security team in an instant, with the same processes that are already used for other critical data and applications. And, single sign on is supported -- the same username and login can be used for Gmail for Business that is already in use for access to internal applications and services.

Vanguard now provides enterprises with a secure method for Gmail users to authenticate through RACF. We make it easy to move email to the cloud while ensuring the same proven, high level security protection that Vanguard provides for internal applications and systems. Vanguard has been securing the cloud for more than two decades, since it was known as timesharing. Now we are extending our cloud security expertise to Gmail for Business.
